Information we collect
2.1 Information you provide to us
When you apply for early access, join our waitlist, or contact us, we may collect:
Identity and contact information: name, email address, and (if you choose to provide it) phone number.
Professional information: your role (director, producer, DP, studio, etc.), company or studio name, country or region, years of experience, and links to your portfolio, IMDb, website, or social profiles.
Application content: any free-text information you submit — for example, what you are working on, why you want access, the size of your productions, or the equipment and software you use.
Communications: the content of emails, form messages, and other correspondence you send us, along with our replies.
You decide what to submit. If you leave optional fields blank, we may not be able to evaluate your application as accurately.
2.2 Information collected automatically
When you visit the site, we and our service providers may automatically collect:
Device and connection data: IP address, browser type and version, operating system, device type, screen size, and language settings.
Usage data: pages viewed, referring URL, links clicked, time spent on pages, and approximate location derived from your IP address (city or region level, not precise GPS).
Cookies and similar technologies: small files and identifiers stored on your device. See Section 7.
2.3 What we do not collect

We do not knowingly collect information from anyone under 16 years of age (see Section 11).
3. How we use your information
We use the information described above to:
Review, evaluate, and respond to your early access application, including selecting participants for limited early access cohorts.
Contact you about your application status, onboarding steps, and access credentials.
Send you product updates, launch announcements, and related news about ORB Studios, where you have opted in or where permitted by applicable law. You can unsubscribe at any time.
Understand demand, prioritize features, and shape our product roadmap based on aggregated information about who is applying and what they need.
Operate, maintain, secure, debug, and improve the website and our services.
Detect, investigate, and prevent fraud, spam, abuse, and security incidents.
Comply with legal obligations and enforce our terms.
We do not use your application content to train publicly released AI models, and we do not sell your personal information.
4. Legal bases for processing (EEA / UK users)

5. How we share information
We share personal information only in the following circumstances:
Service providers. We use third parties that process data on our behalf, under contract and only on our instructions. These currently include categories such as:
Website hosting and form handling ([Framer])
Email delivery and marketing ([PROVIDER])
Analytics ([PROVIDER])
Customer relationship management and internal collaboration tools ([PROVIDERS])
Professional advisors. Lawyers, accountants, and auditors where necessary.
Legal and safety. Where required by law, regulation, legal process, or governmental request, or where necessary to protect the rights, property, or safety of ORB Studios, our users, or others.
Business transfers. In connection with a merger, acquisition, financing, or sale of assets, subject to this policy continuing to apply to your information.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising as those terms are defined under the California Consumer Privacy Act (CCPA/CPRA).
6. International transfers
We are based in the United States, and our service providers may process data in the United States and other countries. If you are located in the EEA, the UK, or another jurisdiction with data transfer restrictions, your information will be transferred outside your country.
Where required, we rely on appropriate safeguards for such transfers, including the European Commission's Standard Contractual Clauses (and the UK International Data Transfer Addendum where applicable). You may request a copy of the safeguards we use by contacting us.
7. Cookies and analytics
We use cookies and similar technologies to keep the site functioning, remember your preferences, and understand how the site is used.
Analytics and performance cookies help us measure traffic and improve the experience.
Strictly necessary cookies are required for the site to work and cannot be switched off.
Where required by law, we ask for your consent before setting non-essential cookies, and you can change your choice at any time through the cookie banner or your browser settings. Most browsers also let you block or delete cookies; doing so may affect how the site functions.
We honor Global Privacy Control (GPC) signals where legally required.
8. Data retention
We keep early access application data for as long as needed to evaluate and administer the program, and afterwards:
Successful applicants: for the duration of your relationship with ORB Studios and a reasonable period afterwards.
Unsuccessful or pending applicants: up to [24] months, so we can contact you when additional capacity opens, unless you ask us to delete it sooner.
Marketing contacts: until you unsubscribe, plus a short suppression record so we do not email you again.
Analytics data: typically [14] months in aggregated or pseudonymized form.
We may retain limited information longer where necessary to comply with legal obligations or resolve disputes.
9. Your rights and choices
Everyone. You can unsubscribe from marketing emails at any time using the link in any email, or by contacting us. You can ask us to correct or delete your application at any time.
EEA / UK residents. Subject to conditions, you have the right to: access your personal data; request correction or erasure; restrict or object to processing; request data portability; withdraw consent at any time (without affecting processing already carried out); and lodge a complaint with your local supervisory authority.
California residents. Subject to conditions, you have the right to: know what personal information we collect, use, and disclose; request deletion; request correction; and not be discriminated against for exercising your rights. We do not sell or share personal information for cross-context behavioral advertising.
Other US states. Residents of states with comprehensive privacy laws (including Texas, Colorado, Connecticut, Virginia, and others) have comparable rights to access, correct, delete, and obtain a copy of their personal data, and to opt out of targeted advertising and profiling.
How to exercise your rights. Email [privacy@orbstudios.com] with the request and the email address you used to apply. We will respond within the timeframe required by applicable law (generally 30–45 days). We may need to verify your identity before acting on a request. You may use an authorized agent where the law allows.
10. Security
We use technical and organizational measures appropriate to the risk, including encryption in transit, access controls, and limiting access to personal information to people who need it. No system is completely secure, and we cannot guarantee absolute security. If you believe your interaction with us is no longer secure, contact us immediately at [security@orbstudios.com].
11. Children
The site and the early access program are intended for professionals and are not directed to children. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, contact us and we will delete it.
12. Third-party links
Our site may link to third-party websites and services, including social platforms and partner tools. We are not responsible for their privacy practices, and this policy does not apply to them. Please review their policies before providing information.
13. Changes to this policy
We may update this policy from time to time. When we do, we will revise the "Last updated" date above. If the changes are material, we will provide additional notice, such as by email or a prominent notice on the site. Continued use of the site after changes take effect means you accept the updated policy.
